This Health and Safety Policy sets out our commitments and procedures to protect the wellbeing of our cleaning staff, clients and members of the public. Cleaners E1 recognises its responsibility to provide a safe and healthy working environment and to continually improve standards of safety in all cleaning operations.

Our Health and Safety Objectives

Our objectives are to prevent accidents and work-related ill health, to identify and control workplace risks, and to ensure that all cleaning tasks are carried out in a safe and professional manner. We aim to integrate health and safety into every aspect of our planning, supervision and service delivery.

Management Responsibilities

Management is responsible for implementing this policy and ensuring that adequate resources, information and supervision are provided. Managers will carry out and review risk assessments for all relevant tasks and locations, introduce appropriate control measures and confirm that staff are trained in safe systems of work.

Managers will also monitor compliance with this policy through regular checks, inspections and feedback from staff and clients. Where shortcomings are identified, corrective actions will be taken promptly and communicated clearly to all those affected.

Employee Responsibilities

All employees have a duty to take reasonable care of their own health and safety and that of others who may be affected by their work. Cleaners must follow the instructions, training and safe working procedures provided and must not undertake tasks for which they have not been trained or authorised.

Employees must report hazards, near misses, accidents, defective equipment and unsafe conditions as soon as they are identified. Staff are expected to use equipment, chemicals and personal protective equipment correctly and to respect the health and safety requirements of client sites.

Risk Assessment and Safe Systems of Work

We carry out risk assessments for our cleaning activities, taking into account the nature of the premises, cleaning methods, materials used and any specific site risks. These assessments inform our safe systems of work, which are communicated during training and on site as required.

Where the risk assessments identify significant hazards, we will implement appropriate control measures such as safer equipment, revised cleaning techniques, restricted access areas or additional personal protective equipment. Risk assessments are reviewed regularly and whenever there are changes to work methods, materials or premises.

Chemicals and COSHH Controls

Chemicals are selected, stored and used in accordance with relevant safety information and product guidelines. We follow control of substances hazardous to health principles to minimise exposure to cleaning agents, disinfectants and other substances.

All staff receive instruction in the safe handling, dilution, application and disposal of cleaning chemicals. Safety data information is made available, and staff are required to use only approved products in the manner specified. Chemicals must be clearly labelled, stored securely and never decanted into unmarked containers.

Personal Protective Equipment

Cleaners E1 provides suitable personal protective equipment such as gloves, masks, goggles, aprons or footwear where identified by risk assessment. Staff are required to use this equipment when instructed and to look after it properly.

Damaged or missing protective equipment must be reported and replaced before work resumes. We ensure that staff understand when and how to use protective equipment and the limitations of each item.

Equipment, Tools and Electrical Safety

All cleaning equipment, including vacuum cleaners, floor machines and other powered tools, must be maintained in safe working order. Equipment is inspected regularly, and defective items are taken out of use until repaired or replaced.

Electrical leads are to be routed to avoid trip hazards and must not be used if damaged. Staff must never tamper with electrical fittings or use equipment in a way that has not been authorised or trained.

Manual Handling and Ergonomics

We recognise the risk of injury from lifting, carrying and repetitive cleaning tasks. Staff are trained in safe manual handling techniques, including how to move equipment, handle waste bags and work at low and high levels safely.

Where possible, we use mechanical aids, trolleys and other solutions to reduce the physical strain of cleaning work. Staff are encouraged to take reasonable breaks and to report any symptoms of discomfort or injury at an early stage.

Slips, Trips, Falls and Site Safety

Slips, trips and falls are a significant risk in cleaning operations. Wet floor signs and barriers must be used whenever floors are being cleaned or are still drying. Work areas should be kept tidy, with equipment and materials stored safely and walkways kept clear.

When working at height, such as using steps or small ladders, only suitable and approved equipment may be used. Staff must follow training on safe use and must not overreach or improvise access methods.

Infection Control and Hygiene

We follow appropriate hygiene and infection control procedures, particularly when cleaning washrooms, kitchens, medical or high-contact areas. Colour coded materials may be used to prevent cross contamination between different areas.

Staff receive guidance on hand hygiene, the use of disinfectants and safe waste handling. Where necessary, additional protective measures are introduced in response to specific health concerns or client requirements.

Incident Reporting and Emergency Procedures

All accidents, injuries, near misses and dangerous occurrences must be reported to management as soon as practicable. These incidents are recorded and investigated to identify root causes and to prevent recurrence.

Cleaners must familiarise themselves with emergency procedures on each site, including fire exits, assembly points and any site-specific rules. In the event of an emergency, the safety of people takes priority over property.

Training, Communication and Review

Health and safety training is provided at induction and refreshed as necessary. Additional training is given when new equipment, materials or methods are introduced or when risk assessments identify a need.

We communicate health and safety matters openly with staff and clients and welcome feedback on how our arrangements can be improved. This policy is reviewed regularly to ensure it remains suitable and effective, and updates are communicated to all employees.
